Documents You Need to Work in Europe: The Complete Paperwork Checklist (2026)

European employers lose candidates to paperwork every week. A company is ready to hire, and then a missing apostille or an unrecognized diploma adds two months to the process. Nearly all of it can be prepared in advance - and a prepared candidate beats an equally qualified unprepared one almost every time.

Here is your checklist, in the order that saves the most time.

1. A valid passport

At least 6 months of validity beyond your planned stay, with free pages for the visa. Renew early - everything else depends on this document.

2. A European-style CV

The Europass format is recognized across the EU, but any clear, chronological CV works: your jobs with dates, concrete skills, licenses, languages. Keep it factual and 1-2 pages. English is accepted by most international employers; a version in the local language is a bonus.

3. Diplomas - and diploma recognition

This is the step people underestimate most:

  • Gather every diploma, vocational certificate and license you hold.
  • For regulated professions (nurses, doctors, electricians, teachers, drivers of certain vehicles), your qualification must be officially recognized in the destination country before you can work in that role.
  • Each EU country has an ENIC-NARIC center that evaluates foreign diplomas - find the one for your target country and start early, because recognition can take weeks to months.

4. Apostille and legalization

An apostille is an official stamp that makes your document valid abroad. If your country is part of the Hague Apostille Convention, you get apostilles from your national authority (often the foreign ministry or notaries). Birth certificates, diplomas, police certificates and marriage certificates commonly need one. If your country is not in the convention, you will need consular legalization instead - slower, so start earlier.

5. Sworn translations

Many EU authorities require translations by a sworn/certified translator, not just any translator. Requirements are country-specific: a German authority wants a translator sworn in Germany or recognized equivalents. Translate after you know your destination country - but budget for it now.

6. Police clearance certificate

Most work and residence permits require a criminal record certificate from your home country (and sometimes from countries where you lived recently). These usually expire after 3-6 months, so learn how to get one quickly, and request it when your application actually needs it.

7. Proof of accommodation and health insurance

Many countries ask for an address (your employer often helps with this) and health insurance covering your first period. Seasonal permits almost always require both.

8. Reference letters

Letters from past employers stating your role, dates and duties make you dramatically more credible - especially for skilled trades. Collect them now, in English or translated, while former employers are easy to reach.

Practical tips

  1. One digital master folder - scan everything, name files clearly in English.
  2. Check what your target country specifically requires - lists differ between Germany, Poland, Portugal and others.
  3. Watch expiry dates on police certificates and medical documents.
  4. Ignore anyone selling "guaranteed permit packages" - official forms are official, and no middleman can skip the queue.
To a European employer, a candidate with recognized diplomas and apostilled documents is not just qualified - they are hireable this month instead of next quarter.

Start preparing today, and make sure employers can find you once your folder is ready. This article is general information, not legal advice - always follow the official checklist of the country where you apply.
